How to Assign a Survey in SmartWinnr

After creating a survey with questions, assign it to the intended participants so they can take the survey and submit their responses.

Steps to Assign a Survey

  1. Navigate to EDITOR > SURVEYS > View All Surveys.
  2. Locate the survey you want to assign from the list.
  3. Click on the Assign button associated with that survey.

Select Participants

On the Send Survey page, you have several options to choose your audience:

  • Users: Select individual users who should receive the survey.
  • Groups: Choose pre-defined groups or teams.
  • Metatags: Filter participants using metatags to target specific categories of users.
  • Business Unit / Subdivision: Narrow down participants based on organizational structure.
  • Roles: Filter users based on their role within the organization.

You can also search for participants by name, email ID to quickly locate specific users.

You can also select a specific Group of participants to whom you want to send the Survey.

Go to Section –‘ Sending Quizzes, Surveys and Content Using Groups’.

Select the participants as per the requirement and Survey availability is governed by the Start Date and End Date defined during survey creation.

  • Once participants are assigned, the survey will automatically become available to them based on the configured start date and time.
  • Participants will be able to respond to the survey only within the defined survey duration (from the start date to the end date).

After selecting the required participants, click Send to Selected People to assign the survey successfully. The system will handle survey visibility and availability according to the configured dates.

On success, a success notification will be shown.

This process allows you to efficiently assign surveys to your targeted audience and track response delivery.

How a Survey Appears in the User View

Once a survey is assigned, participants can access and respond to it through the SmartWinnr mobile app or web view.

Accessing the Survey

  • Users will receive a notification (email and/or push notification) when a survey is assigned to them.
  • The survey can be accessed from the Surveys section within the SmartWinnr app or web portal.

Survey Interface

  • The survey opens with the survey title and description, providing context and instructions.

    Questions are displayed based on the Question Visibility Type configured by the editor:

    • All: All questions are visible on a single screen.
    • Individual: Questions are shown one at a time.
    • Section Wise: Questions are grouped and displayed section by section.

Responding to the Survey

  • Users can select or enter responses as per the question type.
  • Navigation options (Next/Previous) allow users to move through the survey where applicable.
  • If Anonymous Response is enabled, user identity will not be associated with the responses.

Submitting the Survey

  • After completing all questions, users can submit the survey.
  • If Send Response to User is enabled, users will receive an email confirmation containing their submitted responses.

Once submitted, users will not be able to modify their responses.
